2. Personal data we collect

  • Contact and account details: first and last name, email, telephone, company or organisation, login and account-verification information.
  • Order information: billing and delivery addresses, items, quantities, colours, garment sizes, order history, payment status and transaction references.
  • Business references: VAT information, purchase order numbers, departments, sites and cost centres, where you provide them.
  • Employee or team information supplied for an order, such as names, garment sizes and allocation instructions.
  • Artwork, logos, file names, branding choices, placement instructions and communications about production.
  • Correspondence, support enquiries and records needed to resolve an issue.
  • Technical information such as IP address, device/browser details, security logs, cookie or browser-storage data and usage information where collected lawfully.

Card details are entered through Shopify-hosted checkout and handled by the payment providers offered there. Our workwear application receives payment status and order references; it does not need to store your full card number or security code. Do not send card details in artwork or support messages.

3. How we collect data

We collect data directly from you through account and order forms, artwork uploads and communications. Shopify checkout sends confirmed order information to our order-management service. A company representative may provide information when ordering for colleagues. Necessary cookies and storage support the service; optional analytics or marketing technologies controlled by this site are used only after the relevant consent.

4. Why we use data and our lawful bases

  • Contract and steps before a contract: to respond to enquiries, create and operate your account, take an order, prepare artwork, produce and deliver garments, and provide order support. This applies where we contract with you personally.
  • Legal obligation: to meet tax, accounting, consumer, regulatory and other legal requirements.
  • Legitimate interests: to administer business-customer relationships, communicate with their representatives, process necessary employee order information, secure the service, prevent fraud, manage disputes and improve our service where those interests do not override your rights.
  • Consent: for optional marketing where consent is required and non-essential cookies controlled by this site. You can withdraw consent without affecting earlier lawful processing.

We do not make marketing consent a condition of buying workwear. Where data is required to process an order or comply with law, we may be unable to provide the relevant service without it. We assess the appropriate lawful basis for each purpose rather than relying on blanket consent.

5. Employee and team sizing information

If you supply personal data about employees or other people, you must have authority and a lawful basis to share it and provide appropriate privacy information to them. We use names, sizes and allocation details to fulfil and manage the order or related customer service, unless another lawful basis applies. Supply only what is needed: ordinary garment sizing does not require medical, health or other sensitive information.

6. Artwork and production instructions

Uploaded files may contain personal or company information. We store and use them to prepare and produce your order, resolve queries and support reorders or account history where appropriate. Artwork is held in private cloud storage with controlled staff access. Please avoid unnecessary personal information and make sure you have permission to supply the file. We may retain artwork for reorders; you can request deletion, subject to any necessary legal or contractual retention.

7. Who we share data with

We do not sell personal data. We share only information needed for the relevant service or legal purpose with:

  • Shopify, for ecommerce, hosted checkout and order processing, and the payment processors offered at checkout.
  • Delivery and collection service providers, including DPD where used for your delivery.
  • Website/cloud hosting, database, authentication, storage, email and technical service providers.
  • Accountants, bookkeeping services and accounting software where used, tax authorities and professional advisers.
  • Authorities or other parties where disclosure is required by law or necessary to establish, exercise or defend legal rights.

Providers may act as our processors or as independent controllers for their own services. Their privacy information explains their independent processing.

8. International transfers

Some providers may store or process data outside the UK. Where a restricted international transfer occurs, it must be covered by an applicable adequacy arrangement or other recognised UK data-protection safeguard, as required by law. The arrangement depends on the provider, destination and processing; this policy does not assume the same mechanism applies to every provider. Contact us for information about the safeguards relevant to your data.

9. How long we keep data

We keep data only for as long as needed for its purpose, taking account of legal obligations, the customer relationship, reorders, disputes and limitation periods.

  • Order, payment and accounting records are kept for applicable legal and accounting requirements and appropriate business needs.
  • Account and order-history information may be kept while the account or relationship is active and for appropriate legal/accounting periods afterwards.
  • Artwork may be retained to support reorders unless deletion is requested and there is no necessary legal or contractual reason to retain it.
  • Marketing information is kept while lawfully needed; after an opt-out we may keep a minimal suppression record to avoid contacting you again.
  • Cookie and browser-storage retention depends on the purpose, settings and provider. See our Cookie Policy.

Closing an account does not automatically remove records we must lawfully retain. We periodically assess information that is no longer needed.

10. Keeping data secure

We use reasonable technical and organisational measures, including secure authentication, access controls, restricted staff access and private artwork storage, alongside service providers selected for the relevant processing. No internet service can guarantee absolute security. Keep account credentials secure and tell us promptly if you suspect unauthorised use.

11. Your data protection rights

Depending on the circumstances and lawful basis, you may have rights to access your data, correct inaccuracies, request erasure, restrict processing, object to processing, receive or transfer data in a portable form, and withdraw consent. Some rights have conditions or legal exceptions, including where records must be kept by law. You may object to direct marketing at any time.

Contact us to exercise a right. We will respond within the applicable legal timescale and may need proportionate identity checks. You can complain to the Information Commissioner’s Office (ICO). We would welcome the chance to address your concern first, but you do not have to contact us before complaining to the ICO.

12. Marketing and service communications

Order updates, artwork questions and delivery messages are service communications, not a condition requiring marketing consent. We send existing-customer or business marketing only where permitted by law, including consent or any applicable soft opt-in with its required conditions. Every marketing message should provide a way to unsubscribe, or you can contact us. An opt-out does not stop essential messages about your order.

13. Cookies and preferences

Our Cookie Policy explains the known browser-storage purposes, necessary and optional categories, and separate provider services.

14. Changes and contact

We update this policy when our practices or legal requirements change. The date above identifies the latest version. We will provide additional notice where appropriate for a significant change. For privacy questions or requests, contact us using the details in section 1.
